Coordinator of Eye Care Services – Full-time – WesternU Health Eye Care Institute, Los Angeles, CA
Primary Purpose
To support the delivery of patient care services and clinical education through the management of optical services, optometric assisting, and billing in the WesternU Health Eye Care Institute (ECI).
Essential Job Functions
Optical Technician
- Provides direct patient care for spectacle frame and lens selection, fitting, ordering, verification, and dispensing. Assists and triages patients with any concerns with ophthalmic materials. Provides basic frame repairs.
- Assists patients in the selection of ophthalmic materials, performs all necessary measurements, completes all ordering, and inputs necessary information into the EHR system
- Verifies accuracy of ophthalmic materials when received from the optical laboratory, assures timely notification of receipt of materials to patients and dispenses and adjusts ophthalmic materials to patients
- Implements the business aspects of the optical service including stocking, ordering, inventory, display, direct and third party billing
- Under the supervision of the optometrists, assists patients in the selection of low vision assistive devices as well as the obtaining of measurements, ordering, verification, dispensing and training of the patient in the use of low vision assistive devices.
- Completes documentation necessary for spectacle, contact lens, and custom low vision assistive device orders. Orders and verifies contact lenses for diagnostic use and patient dispensing. Coordinates appointment scheduling for contact lens dispensing.
- Provides basic frame repairs.
- Assists with pre-testing procedures/measurements
- Provides clinical education in optical services to students enrolled in the College of Optometry
Administration/Billing
- Calibrates, cleans and maintains ophthalmic equipment and instruments. Stocks exam rooms with supplies, instruments and equipment.
- Completes monthly inventory and submits clinic resupply information to the Director of Operations
- Manages optical invoices and assists with payment processes for Department of Rehabilitation Services
- Performs other duties as assigned. The University/College reserves the right to add or change duties at any time.
Clinical Front Office
- Schedules appointments and verifies insurance eligibility and benefits for patients
- Completes patient check-in procedures including assisting patients with registration forms and paperwork
- Collects patient payments, issues receipts and posts payments into the EHR system
Required Knowledge, Skills and Abilities
Individuals must possess the knowledge, as well as the following skills and abilities, or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
- Proficient computer skills necessary to create documents, spreadsheets, tables, and/or forms in Word, Excel, PowerPoint, Acrobat Professional, EMR/EHR software programs and any other software programs as required by the position with the ability to learn various software programs used within the College of Optometry and Eye Care Institute.
- Excellent verbal and written communication skills. Ability to interact well with patients, staff, students, faculty, administration, and outside constituents in a highly responsive manner. Must be culturally sensitive and maintain confidentiality.
- Must be effective at prioritizing and completing complex and time sensitive tasks.
- Knowledge of optical services and optical business practices.
- Knowledge of proper and safe handling and use of equipment and instruments used in an optometric office
- Mathematical ability to add, subtract, divide, multiply, calculate percentages.
- Must be a self-assured, experienced leader who is able to interact with senior executives, anticipate potential problems, and initiate solutions. Must be able to manage a crisis with upset customers or calm a faculty member, doctor, staff member, or student.
- Must be able to multi-task in a fast-paced environment and be flexible with job assignments.
- Basic knowledge of optical services and optical business practices. Ability to manage business aspects of an optical service and ability to provide direct patient care for optical services.
- Level of familiarity with optical service terminology and optometric patient care terminology
Qualifications Standard
- Education: Graduate Equivalency Diploma or High School Diploma required.
- Experience: Three to five years’ experience in an optometric clinical practice or institutional setting or any combination of education, training or experience that provides the required knowledge, skills and abilities.
- Certified optician or paraoptometric technician preferred.
- Bilingual (English/Spanish) highly preferred
